RVY holds data about students who attend classes at the studio. By completing the registration form or by booking to attend classes or an event at RVY, you are giving your consent to us to hold this data.
When you complete the registration form we ask you to tell us your name, address, phone number and email address and whether you have practiced yoga previously. The form also asks for emergency contact details.
We will also ask you to complete a medical statement providing information about any medical conditions you have or have had that may need reasonable adjustments or particular care in class.
Teachers keep registers of all classes taught, including your name and if provided your phone number. These registers will be stored, on paper and on a spreadsheet, for a minimum of six years.
We hold this information to be able to manage our classes and students including:
We store these in case we need to demonstrate who attended a class in the previous six years. For example, students who may wish to start teacher training who need to provide evidence of regular class attendance; and for insurance purposes.
This allows us to ensure that your teacher is aware of any conditions or issues that may mean they need to tailor their teaching to ensure you are safe.
We keep a written record and an electronic record of your booking. A numerical only summary of bookings will be translated to a spreadsheet record and retained securely by RVY. Written and electronic records will be destroyed a period of 12 months at the latest.
Registration forms and medical statements are stored in a locked drawer at the studio and are accessible to RVY teachers only.
Class registers are stored in the studio and on a shared One Drive. A numerical only summary of class numbers will be translated to a spreadsheet record and retained securely by RVY.
